The Reception Desk & Administrative Supervisor is responsible for managing reception activities, controlling visitor access, supporting office security, and supervising the daily performance of assigned reception, security, and cleaning personnel. The role ensures that office services are delivered professionally and in accordance with company policies, security procedures, and health and safety standards.
Key Responsibilities
- Manage and supervise daily reception desk operations.
- Welcome visitors professionally and direct them to the appropriate employee or department.
- Record visitors’ names and relevant information and organize their movement within the office.
- Monitor access to the office and ensure that unauthorized individuals do not enter restricted areas.
- Implement and maintain all applicable office security procedures.
- Monitor security systems, including surveillance cameras and alarm systems.
- Take appropriate action and immediately report any security threat, unusual activity, or emergency.
- Coordinate with management to prepare and implement daily work plans.
- Distribute duties and responsibilities among assigned reception, security, and cleaning personnel.
- Monitor the team’s daily performance and ensure that service quality standards are achieved.
- Provide operational support to team members and help resolve work-related problems.
- Ensure that employees comply with company policies, workplace regulations, and health and hygiene standards.
- Ensure that assigned personnel wear the approved uniform and visible photo identification cards.
- Confirm that employees understand their responsibilities and the nature of the workplace in which services are provided.
- Maintain strict confidentiality regarding company information, employees, visitors, and any information obtained during work.
- Ensure that all assigned personnel behave professionally, politely, discreetly, and responsibly.
- Promote cooperation between service personnel and office employees.
- Prepare or maintain relevant visitor, attendance, incident, and operational records.
- Report performance issues, security incidents, maintenance requirements, or service concerns to management.
- Perform any other related duties assigned by management.
