Key Responsibilities:

1. Office Operations & Administration:
  • Oversee day-to-day office operations to ensure efficiency and smooth workflow.
  • Manage office supplies, equipment, and facilities, ensuring a well-organized and productive work environment.
  • Maintain records, filing systems, and ensure all documents, invoices, and travel agreements are properly managed.
2. Staff Coordination & HR Support:
  • Supervise and support administrative staff, ensuring team productivity.
  • Assist HR with onboarding, training, and performance management of employees.
  • Maintain employee records and ensure compliance with company policies and travel regulations.
3. Financial & Budget Management:
  • Assist in budget planning, expense tracking, and cost control for office operations.
  • Work closely with finance to process invoices, reimbursements, and vendor payments.
  • Monitor operational expenses and suggest ways to optimize costs.
4. Travel & Client Support:
  • Coordinate with travel agents, tour operators, and partners to support customer bookings and inquiries.
  • Handle escalations and ensure high customer satisfaction in travel-related services.
  • Assist in organizing corporate and group travel bookings when necessary.
5. Communication & Reporting:
  • Serve as the main point of contact between departments, vendors, and management.
  • Prepare reports, presentations, and office performance updates for management.
  • Ensure compliance with company policies and industry regulations in travel and tourism.
6. Office Technology & Process Improvement:
  • Oversee office IT systems and ensure smooth workflow with travel booking software and CRM tools.
  • Identify and implement process improvements to enhance office efficiency and productivity.


Requirements

  • Bachelor’s degree in Business Administration, Tourism, or a related field.
  • 10+ years of experience in office administration, preferably in the travel and tourism industry.
  • Excellent organizational, leadership, and problem-solving skills.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to handle multiple tasks, deadlines, and high-pressure environments.
  • Excellent communication skills (both written and verbal).
